With the help of the TIMIFY Import App it is effortless to import all your data to TIMIFY. In this article, we will show you how to do so with your customer data as well as with your calendar events.

Article structure:

  1. Export the Template

  2. Import Your Customer Data

  3. Import Your Calendar Events

1. Export the Template

To use the import app, go to the menu item Apps. From the list of applications, select TIMIFY Import App in the category App Marketplace.

Agree to the privacy agreements and install the app.

Please download the example CSV file using the red button. You can now enter all your customer data into this file.

⚠️ Important: The header line should not be deleted or changed so that the data can be imported correctly into TIMIFY.

You can delete the header fields which are not required or are not active data fields (the fields which have a grey colour line in front are inactive and the ones which have a green or orange line are active for use) in your Timify account.

2. Import Your Customer Data

In the section Import Customers you can now drag and drop the CSV file into the box (marked below in the screenshot) or click on the box to select and upload the file from your computer.

Once your CSV file is uploaded, you have to match the data fields in TIMIFY with the data fields in your CSV file by selecting the appropriate header line from the uploaded CSV file.

When you are ready, click on the red button at the bottom of the page and your customers will be imported.

If you get an error with matching data fields, the rest of the data will still be imported, excluding the one having the issue.

ℹ️ Tips: The mobile phone number always has to start with a + sign following the country code.
In Google Sheets to add the plus sing in front you need to write it with single apostrophe '+ to record it as plain text.

3. Import Your Calendar Events

First you have to export the events to an ICS file from the other calendar (e.g. Outlook, Google).

In the section Calendar Events you can now drag and drop the ICS file that you have exported so that your events are imported in your TIMIFY calendar.

When the file is chosen/dragged you will see the following screen - it shows you the number of passed and future events that will be imported and allows you to choose the TIMIFY resource to whom the events will be assigned. Do so and click Import events for the action to take place.

Once the import starts it can take up to 10 minutes depending on the number of events.

You can import passed and future events as follows:

  • passed events: the events that will import are those scheduled 2 weeks ago from the day when the import takes place up until what counts as yesterday to the import day

  • future events: the events that will import are those scheduled for what counts as today at the time of the import up until the end of time i.e. there is no future limitation

When the events are imported you can download the log file to make sure there were no conflicts and everything was imported as expected.

⚠️ Important:

Note that after the import, the following elements of your event will be listed in the Notes section of your TIMIFY booking:

  • any links there are in the event

  • the attendees of the event

  • the location of the event

Last but not least, mind that in the case of an imported recurring event that has had one of its instances deleted before the import, it will still be the original recurring event in its whole that you will see in TIMIFY.

And if you import certain events, then apply some edits in your other calendar and import them again, the import will be successful and the bookings in TIMIFY will update.
